CANCELING A DOCUMENT

2. If a user reports to you that he or she cannot print, what are some of the areas you

should check?

Lesson Summary

When there is a printing problem, always verify that the printer is plugged in,

turned on, and connected to the print server. For a network interface print device,

verify that there is a network connection between the printer and the print server.

Ask questions to help determine whether the problem is with the application, the

document, or the printer.

There are a number of common printing problems that you should know how to

solve, including problems arising from printer configuration, printer drivers, and

print permissions.

You can access the Windows XP Professional built-in Printing Troubleshooter

from the Printers And Faxes window by clicking Troubleshoot Printing.

Case Scenario Exercise

In this exercise, you will read a scenario about a user who is trying to manage docu-

ments on a network printer, and then answer the questions that follow. If you have dif-

ficulty completing this work, review the material in this chapter before beginning the

next chapter. You can find answers to these questions in the “Questions and Answers”

section at the end of this chapter.

Scenario

You are working as an administrator for Fabrikam, Inc., a company that makes prebuilt

cabinetry that people can install in their own homes. Erin, a user from the Sales depart-

ment, calls at 4:45 p.m. to tell you that one of the other people in her department has

printed a very long document to the department’s only color laser printer. The printer

is a network printer that is used by many people, and Erin does not think the long doc-

ument has started printing yet.

Erin tells you that her manager, Jesper, has asked her to print several copies of an

important memo to distribute to other people in her department before 5:00 p.m. She

does not want to stop the long document from being printed because the person who

printed it has already left for the afternoon and will need the printed document in the

morning. Erin says that she has accessed the print server using her Web browser in the

past but cannot remember how she did it. You determine that the print server is named

SLS-PR1 and that the printer’s share name is ColorLaser.
